Absence Rates Turnover (Team) Calculator FAQ
Answers to common questions about measuring team absence, turnover, average headcount, working days, and reporting periods.
Use these questions and answers to check the inputs, calculation method, and interpretation of team absence and turnover results. Results are most useful when definitions remain consistent over time.
Getting started
Basic questions about what the calculator measures.
What does the team absence and turnover calculator calculate?
It estimates team absence rate, turnover rate, scheduled workdays, total absence days, and estimated attendance days for one reporting period.
What reporting period can I use?
You can use a month, quarter, year, or another defined period, provided every input relates to that same period.
Who is this calculator for?
It is designed for team-level workforce reporting where managers want a consistent way to track absence days and leavers.
Inputs and definitions
How to prepare the four calculator inputs.
What is average team headcount?
It is the representative average number of employees in the team during the reporting period.
What should count as an absence day?
Use scheduled workdays not worked because of absence under your organisation’s reporting definition. Use the same definition for every comparison.
Should planned annual leave be included?
Usually it is treated separately from absence, but follow the definition used in your own workforce records.
What are working days per employee?
They are the scheduled workdays for one employee in the selected period, excluding days that were not scheduled to be worked.
Calculation and interpretation
How each percentage and day total is derived.
How is absence rate calculated?
Total absence days are divided by scheduled team workdays, then multiplied by 100.
How is turnover rate calculated?
Leavers are divided by average team headcount, then multiplied by 100.
What are scheduled team workdays?
They are average headcount multiplied by working days per employee.
What does estimated attendance days mean?
It is scheduled team workdays minus recorded absence days, with a minimum value of zero.
Does a higher turnover rate always mean a problem?
Not by itself. The result describes the proportion of leavers during a period and should be considered with the team’s circumstances and consistent historical data.
Accuracy and comparisons
How to keep reports comparable and identify data issues.
Can I compare two teams using these rates?
Yes, if both teams use the same reporting period, absence definition, working-day basis, and average-headcount method.
Why is my absence rate above 100%?
Check whether absence days include unscheduled days, whether the working-days input is too low, or whether the inputs cover different periods.
What if the team size changed during the period?
Use the best available average headcount rather than only the opening or closing number.
Are the results a benchmark for good performance?
No. The calculator produces descriptive estimates and does not establish targets, acceptable levels, or causes.
How is team absence rate calculated?
Team absence rate equals absence days divided by scheduled team workdays, multiplied by 100.
