General questions

Basic questions about what the calculator measures and when it can be used.

What does the Absence Rates Goal (Team) Calculator do?

It estimates the maximum total absence days a team can have while meeting a selected absence-rate target. It also estimates current absence days and the difference between them.

Can I use this calculator for weekly, monthly, quarterly, or annual goals?

Yes. Use team size, scheduled workdays, and a current absence rate that all relate to the same chosen period.

Is the result a target for each employee?

No. The result is a total team-level estimate. It does not allocate absence days between individual employees.

Does the calculator predict future absences?

No. It translates entered rates into planning figures; it does not forecast future events or causes of absence.

Inputs and calculation

Questions about scheduled workdays, rates, and the formula used.

How is total scheduled workdays calculated?

It is team size multiplied by scheduled workdays per employee for the period.

How is the current absence-days estimate calculated?

Total scheduled workdays are multiplied by the current absence rate divided by 100.

How is the maximum absence-days target calculated?

Total scheduled workdays are multiplied by the target absence rate divided by 100.

What should count as a scheduled workday?

Use days an employee was expected to work under your reporting method. Exclude days that were not scheduled, such as non-working days.

Should scheduled workdays include public holidays?

Use a consistent local reporting definition. If a public holiday is not a scheduled working day for the team, it would generally not be included in the denominator.

Results and interpretation

Questions about reading the outputs and handling unusual results.

What does maximum absence days mean?

It is the estimated highest total number of absence days consistent with the selected target rate for the entered scheduled workdays.

What does absence days to reduce mean?

It is estimated current absence days minus target absence days. A positive result shows the estimated reduction needed to reach the target.

Why is the reduction figure negative?

A negative result means the current estimated absence level is already below the target maximum.

Why are some results decimal days?

Rates often create fractional results. The decimal is useful for planning, while actual records may use whole days, hours, or partial days.

What are target attendance days?

They are total scheduled workdays minus the calculated maximum absence days at the target rate.

Accuracy and consistent reporting

Questions about assumptions and factors that may change the real-world result.

How accurate is the calculator?

The arithmetic is based on the inputs provided, but usefulness depends on accurate team size, scheduled days, rates, and consistent absence definitions.

Do starters and leavers affect the result?

They can. The calculator uses an average team size, so significant changes during the period may require a more detailed scheduled-days total.

How do part-time employees affect the calculation?

Different schedules can affect total available workdays. Using actual total scheduled workdays is more precise when schedules vary substantially.

Should annual leave be included as absence?

Follow the definitions used in your organisation's absence reporting. Annual leave is often tracked separately, but consistency is the key requirement.
