How it works

The calculator divides absence days by scheduled workdays to calculate the individual absence rate. Attendance is the remaining proportion of scheduled days. It also divides absence occasions by scheduled workdays and scales both the day and occasion results to the annual workday figure you enter. How is an individual absence rate calculated?

Divide the individual's absence days by their scheduled workdays for the same period, then multiply by 100. For example, 10 absence days out of 130 scheduled days is a 7.7% absence rate.

Should holidays be included in scheduled workdays?

Usually no. Use the workdays the person was expected to work in the review period, excluding annual leave, public holidays and other non-working days according to your organisation's policy.

What is an absence occasion?

An absence occasion is one separate spell of absence. For example, three non-consecutive sickness spells are generally recorded as three occasions, even if some last more than one day.

What does annualised absence mean?

Annualised absence projects the absence pattern seen in the review period across the individual's full-year scheduled workdays. It is an estimate, not a prediction.

Can this calculator be used for part-time employees?

Yes. Enter the part-time employee's actual scheduled workdays in both the review period and their usual full working year. This makes the rate relative to their own working pattern.

Is absence rate the same as employee turnover?

No. Absence rate measures time missed by an individual who remains employed. Employee turnover usually measures people leaving an organisation over a period.
