Accountants Project Cost Calculator Examples
Worked examples of pricing accounting projects using labour cost, expenses, overhead, contingency and markup.
These examples show how different engagement sizes, risk allowances and pricing targets affect a project quote. All figures are illustrative planning estimates and use the calculator’s method of applying overhead to labour cost.

How to Read Your Results
Total project cost is the estimated cost of delivery after labour, direct expenses, overhead and contingency are included.
Suggested quote price applies the selected markup to total project cost; it is not automatically a market-tested or tax-inclusive client price.
Expected profit is the difference between the suggested quote and total project cost before tax and any costs not entered.
Gross margin is lower than markup because margin is calculated as a percentage of the quote price rather than cost.
A contingency amount is a planning reserve, not necessarily a separate client-facing line item.
Assumptions & Important Notes
- Examples use one blended internal hourly cost for all work on each project.
- Overhead is calculated on labour cost only.
- Taxes are not included in the illustrated figures.
- Results are rounded to two decimal places for display.

Frequently Asked Questions
Can I use the calculator for bookkeeping projects?
Yes. Estimate the delivery hours, internal cost, direct project costs and pricing assumptions for the bookkeeping scope.
How can I price a project with subcontractor costs?
Enter the expected subcontractor amount as a direct project expense, then apply contingency and markup through the calculation.
Why does the quote increase when I add contingency?
Contingency increases total project cost before markup, so it changes both the cost estimate and the quote.
Can I compare different markup rates with the same project inputs?
Yes. Keeping cost assumptions fixed and changing only markup shows how quote price, expected profit and margin change.
