Absence Rates Job Offer (Team) Calculator
Estimate how many job offers a team may need to make to maintain planned staffing after expected absences and offer acceptance rates.
Overview
Use this Absence Rates Job Offer (Team) Calculator to estimate the recruitment effort needed to maintain a target number of active team members. Enter the planned active team size, expected absence rate, current team size and likely offer acceptance rate to see the headcount and offers required.
How it works
The calculator first increases the planned active team size to allow for expected absences. For example, if 8% of the team is expected to be absent, 92% is expected to be available. It divides the target active team size by this availability rate and rounds up to find the required total headcount. It then subtracts the current team size to estimate accepted hires needed. Finally, it divides those required hires by the expected offer acceptance rate and rounds up to estimate the number of job offers to make.
How to use this calculator
- 1Enter the number of people who need to be actively available in the team.
- 2Add the expected absence rate for the period you are planning.
- 3Enter the current number of people assigned to the team.
- 4Estimate the percentage of job offers that candidates are likely to accept.
- 5Review the required headcount, accepted hires and estimated number of offers.
Example Calculation
Planned active team size
20
Expected absence rate
8%
Expected offer acceptance rate
75%
Current team size
15
Estimated job offers needed
10 offers
With a target of 20 active people, an 8% absence rate and 15 current team members, the required headcount is 22. You need 7 accepted hires, so making about 10 offers is estimated at a 75% acceptance rate.
Frequently asked questions
What is an absence rate in team planning?
An absence rate is the share of assigned team members expected to be unavailable during a period, for reasons such as sickness, leave or other planned time away.
Why does the calculator increase the required team headcount?
A team cannot rely on every assigned person being available every day. The calculator adds a headcount allowance so the expected available team can still meet your target.
How is the number of job offers calculated?
It divides the accepted hires needed by your expected offer acceptance rate, then rounds up. For example, if you need 6 hires and expect 75% of offers to be accepted, you would estimate 8 offers.
Should I include employee turnover in the absence rate?
No. Absence and turnover are different. If turnover is material, increase the hiring requirement separately or adjust the current team size to reflect likely leavers.
What offer acceptance rate should I use?
Use recent recruitment data for similar roles where available. If you do not have data, use a cautious estimate and compare results using several possible acceptance rates.
Does this calculator account for recruitment lead time?
No. It estimates headcount and offer volume only. Plan recruitment timing, notice periods, onboarding and training separately.

Assumptions and warnings
Assumptions
- The absence rate is assumed to apply consistently across the team during the planning period.
- The offer acceptance rate is assumed to reflect the candidate pool, pay, role and recruitment conditions.
- New hires are assumed to become available in time for the period being planned.
- Results are rounded up because partial people and partial job offers are not practical.
- This is a workforce-planning estimate and does not include turnover, recruitment lead times or training capacity.
Warnings
- This calculator provides a planning estimate only; actual absence and offer acceptance rates can vary significantly.
- Review local staffing requirements, operational constraints and recruitment timelines before making workforce decisions.
