Absence Rates Meeting Cost (Individual) Calculator FAQ
Answers to common questions about calculating an individual employee's absence rate, direct absence cost, cover cost and total estimate.
Use these questions and answers to understand the calculator's inputs, formulas, assumptions and result limits. The calculator is designed for planning estimates rather than payroll, employment or financial decisions.
General questions
Basic information about what the calculator measures and who can use it.
What does the Absence Rates Meeting Cost (Individual) Calculator estimate?
It estimates one employee's absence rate, direct paid absence cost, additional cover cost and combined annual absence cost.
Is this calculator for one employee or a whole team?
It is designed for one employee. Team-level estimates can be created by calculating employees individually or using aggregated inputs with care.
Can the calculator be used for different kinds of absence?
Yes, if the days entered are scheduled workdays and the pay and cover assumptions are appropriate for the type of absence being reviewed.
What period should I use?
Use a consistent annual period: annual salary, annual working days and absence days should all refer to the same year or 12-month planning period.
Inputs and calculation method
Questions about salary, working days, on-costs and cover assumptions.
Should annual salary include bonuses or commissions?
Use the salary basis that best matches the employment cost you want to estimate. Be consistent and avoid counting the same cost again through the uplift.
What are working days per year?
They are the employee's expected scheduled workdays in the year. This is not normally the number of calendar days in a year.
What can employer cost uplift include?
It can represent estimated employer payroll contributions, pension costs, insurance, benefits and other costs paid in addition to gross salary.
How is the daily employment cost calculated?
The calculator multiplies annual salary by one plus the uplift percentage, then divides the result by working days per year.
How is the absence rate calculated?
Absence days are divided by working days per year and multiplied by 100.
Understanding results
How to interpret direct costs, cover costs and the total.
What is direct absence cost?
It is the estimated daily employment cost, including the selected uplift, multiplied by the absence days.
What is estimated cover cost?
It is the additional spending assumed for temporary staff, overtime or outsourced support, calculated from the cover-cost percentage.
Why is total absence cost higher than direct absence cost?
The total adds any estimated cover cost to the direct paid cost of the employee's absence.
Can total absence cost equal direct absence cost?
Yes. If cover cost is set to 0%, the total equals the direct absence cost.
Can cover cost exceed direct absence cost?
Yes. Entering a cover percentage above 100% produces a higher cover cost, which may reflect unusually expensive replacement arrangements.
Accuracy and limitations
Factors that may cause actual costs to differ from the estimate.
Does the calculator include lost productivity?
No. It does not estimate delayed work, lost revenue, reduced quality, customer effects or wider team disruption.
Does it account for contractual sick pay?
Not directly. The model assumes the employee is paid for the absence days and does not model detailed pay rules.
Does it include management time?
No. Time spent arranging cover, managing absence or supporting a return to work is outside this estimate.
How can I make the estimate more realistic?
Use actual salary data, expected workdays and a cover percentage based on observed overtime, agency or outsourcing costs where available.
Is the result financial or employment advice?
No. It is an educational planning estimate and should not replace payroll records, contracts, policies or professional guidance.
How is an individual absence rate calculated?
Divide absence days by the employee's working days per year and multiply by 100.
