Absence Rates Project Budget (Team) Calculator Examples

Worked examples show how absence rates, staffing costs and contingency affect a team project budget and productive capacity.

These examples use different project sizes, schedules and absence assumptions to illustrate how the calculator estimates lost capacity, absence cover costs and a total staffing budget.

How to Read Your Results

Planned person-days show scheduled capacity before allowing for absence.

Expected absent person-days are an estimate of capacity likely to be unavailable, not a prediction of individual absences.

Productive person-days show the expected remaining capacity after the entered absence rate.

The absence cover allowance values expected lost capacity at the daily cost entered.

The estimated project budget includes base staffing, expected absence cover and the selected contingency.

Compare several absence and contingency assumptions when the project is sensitive to staffing availability.

Assumptions & Important Notes

  • Each example assumes that cover is available and can be costed at the stated daily employee cost.
  • Absence is treated as an even percentage of total planned person-days.
  • Dollar values are illustrative examples, not recommended staffing rates.
  • Contingency is calculated after the base staffing and expected absence cover costs are combined.

Frequently Asked Questions

Can I use the examples with another currency?

Yes. The calculation works with any currency as long as the daily employee cost and resulting budget use the same currency.

Why is the absence cover cost separate from the base budget?

The base budget costs the originally scheduled team. The separate allowance estimates the additional cost of retaining capacity when absence occurs.

What happens if the absence rate is zero?

Expected absent person-days and absence cover cost are zero, but any entered contingency is still applied to the base staffing budget.

Can a four-day schedule be entered?

Yes. Enter 4 as the working days per week, and planned person-days will reflect that schedule.
