How it works

The calculator first converts the project schedule into total planned person-days by multiplying team size by project working days. It estimates absent person-days by applying the expected absence rate to that capacity. The cost of replacing those lost days is calculated using the daily employee cost. This absence cover allowance is added to the planned staffing budget, then the selected contingency is applied to produce an estimated project staffing budget.

What is an absence rate for project budgeting?

An absence rate is the percentage of scheduled working time expected to be unavailable because of sickness, unplanned leave or other absences. It helps estimate likely lost project capacity.

Does the absence cover allowance mean employees are paid twice?

Not necessarily. The calculator treats the allowance as the estimated additional cost of replacing lost capacity so the planned scope can still be delivered. Whether this is an extra cost depends on how cover is arranged.
