How it works

The calculator multiplies headcount by scheduled working days to estimate total available work days. It applies the absence percentage to find expected absence days, then divides those days by annual working days to express absence as an average full-time-equivalent (FTE) capacity gap. The recruitment estimate multiplies this FTE gap by your cost per hire. It also estimates cover costs by multiplying absence days by the daily cover cost you provide.

What is an annual absence rate?

It is the percentage of scheduled employee working time that is lost to absence over a year. For example, a 4% rate means roughly 4 out of every 100 scheduled work days are absent.

How is the recruitment cost estimate calculated?

The calculator converts absence days into an average FTE capacity gap, then multiplies that figure by the recruitment cost per hire you enter.

What should be included in recruitment cost per hire?

You may include job advertising, agency or recruiter fees, screening, interview time, background checks, onboarding and training costs that are relevant to your organisation.

Does the calculator include employee pay during absence?

No. It focuses on estimated recruitment and temporary cover costs. Pay, benefits, productivity losses and management time are excluded unless reflected in your cover-cost input.

Should every absence day be covered by temporary staff?

Not necessarily. The daily cover estimate assumes cover is needed for all absence days. If work is commonly absorbed by the existing team, enter a lower average daily cover cost to reflect that approach.

FTE expresses scattered absence days as the equivalent number of full-time employees absent on average. This can help with workforce and recruitment planning.
