Absence Rates Retention (Team) Calculator Examples

Worked examples show how to calculate absence rate, employee retention, and estimated turnover for different team situations.

These examples use the same reporting-period inputs throughout each scenario: opening headcount, closing headcount, new hires, scheduled days per employee, and total absence days. They illustrate how workforce movement and attendance affect separate absence and retention results.

How to Read Your Results

A lower absence rate means fewer recorded absence days relative to the team’s estimated scheduled workdays.

Retention refers to employees from the opening team, not simply the number of employees at the end of the period.

The retained employee figure is an estimate based on headcount and hires; it is not a substitute for employee-level movement records.

Turnover is the estimated percentage of the opening team that did not remain by period end.

Compare results only when teams use the same reporting period, absence definitions, and working-day assumptions.

Assumptions & Important Notes

  • All inputs in each example cover the same reporting period and team.
  • Scheduled workdays are entered per full-time-equivalent employee.
  • New hires are treated as employees who were not part of the opening team.
  • Absence totals are assumed to exclude planned leave where that is the organisation’s normal reporting approach.

Frequently Asked Questions

Can I use the calculator for a monthly team absence example?

Yes. Use opening and closing headcount for that month, the month’s scheduled days per employee, monthly hires, and monthly absence days.

How should partial absence days be entered?

Enter them as decimals where needed. For example, a half-day absence can be recorded as 0.5 days.

Why can retention fall even if ending headcount increases?

A larger ending team can include new hires. Retention measures how many employees from the original team remained after accounting for those hires.

Can two teams have the same absence days but different absence rates?

Yes. The team with fewer estimated available workdays will have the higher absence rate for the same number of absence days.
