Absence Rates Retention (Team) Calculator
Calculate your team’s absence rate and employee retention rate using headcount, hires, working days and total absence days.
Overview
Use this team absence and retention calculator to estimate the percentage of scheduled working time lost to absence and the share of your opening team that remained. Enter opening and closing headcount, hires, scheduled working days and total absence days for the same reporting period.
How it works
The calculator estimates available working days by multiplying the average of opening and closing headcount by scheduled workdays per employee. It then divides total absence days by those available days to calculate the absence rate. To estimate retention, it subtracts new hires from ending headcount, limits the result to the opening headcount, and divides it by the opening team size. This approach is most useful when all figures cover the same team and reporting period.
How to use this calculator
- 1Enter the number of employees in the team at the start of the period.
- 2Add the team headcount at the end of the same period.
- 3Enter employees hired into the team during that period.
- 4Enter scheduled working days per employee and total recorded absence days.
- 5Review the absence rate, estimated retention rate and supporting figures.

Frequently asked questions
How is a team absence rate calculated?
It is calculated as total absence days divided by total estimated available working days, then multiplied by 100. Available days are based on average team size and scheduled days per employee.
How is employee retention calculated in this calculator?
The calculator estimates retained employees by subtracting new hires from ending headcount. It divides that estimated number of original employees remaining by the starting team size.
Why does the calculator use average team size for absence?
Headcount can change during a reporting period. Averaging the opening and closing team size provides a practical estimate of the team size that was available to work.
Should annual leave be included in absence days?
Usually no. Annual leave is normally scheduled leave rather than absence, but use your organisation’s own reporting definition consistently.
Can I use this calculator for monthly reporting?
Yes. Enter figures for one month and use the scheduled working days per employee for that month. Ensure all inputs cover the same date range.
What can make the retention estimate inaccurate?
Transfers, internal moves, rehires, temporary staff and incomplete hire records can make a headcount-based estimate differ from employee-level retention tracking.

Assumptions and warnings
Assumptions
- The absence rate uses the average of starting and ending team size to estimate headcount during the period.
- Each employee is assumed to have the same number of scheduled working days.
- New hires are excluded from the retained-employee estimate.
- Absence days are assumed to be recorded consistently across the team and period.
- Retention is an estimate based on headcount movements and may differ from employee-level retention records.
Warnings
- This calculator provides workforce metrics for planning and reporting only; check your organisation’s HR definitions and records before making employment decisions.
- Absence categories, part-time schedules, transfers and internal moves can affect results. Use consistent rules when comparing periods.
