Team Absence Rate and Retention Formula

Learn how team absence rate, estimated employee retention, and turnover are calculated from headcount, hires, scheduled days, and absence days.

This calculator estimates the share of scheduled team time lost to absence and the proportion of the opening team still present at the end of a reporting period. It uses average headcount for the absence-rate denominator and adjusts ending headcount for new hires when estimating retention.

Team Absence Rate

Absence rate = Total absence days ÷ (Average team size × Scheduled working days per employee) × 100

Where:

First estimate how many scheduled workdays the team had available. Then divide recorded absence days by those available days and convert the result to a percentage.

Variables Explained

VariableWhat It MeansUnit
startingTeamSize - Starting team sizeNumber of employees in the team at the beginning of the reporting period.employees
endingTeamSize - Ending team sizeNumber of employees in the team at the end of the same reporting period.employees
newHires - New hires during periodEmployees who joined the team during the reporting period.employees
workingDaysPerEmployee - Working days per employeeScheduled working days for one full-time-equivalent employee during the period.days
totalAbsenceDays - Total absence daysCombined recorded absence days for the team during the period.days
averageTeamSize - Average team sizeEstimated average headcount based on opening and closing team size.employees
retainedEmployees - Estimated retained employeesEstimated number of original employees remaining after excluding new hires from ending headcount.employees

Step-by-Step Calculation

1

Estimate the average team size

The opening and closing headcounts are averaged to estimate the number of employees available during the period.

averageTeamSize = (startingTeamSize + endingTeamSize) / 2

2

Estimate available working days

Average team size is multiplied by scheduled days per employee to form the absence-rate denominator.

availableWorkingDays = averageTeamSize * workingDaysPerEmployee

3

Calculate the absence rate

Recorded absence days are expressed as a percentage of estimated available working days.

absenceRate = (totalAbsenceDays / availableWorkingDays) * 100

4

Estimate original employees retained

New hires are removed from ending headcount, and the result is kept between zero and the opening headcount.

retainedEmployees = max(0, min(startingTeamSize, endingTeamSize - newHires))

5

Calculate the retention rate

Estimated original employees remaining are divided by the number of employees at the start.

retentionRate = (retainedEmployees / startingTeamSize) * 100

6

Calculate estimated turnover

The estimated share of the original team that did not remain is the complement of retention.

turnoverRate = 100 - retentionRate

Worked example: 25-person team over one year

Starting team size25 employees
Ending team size24 employees
New hires during period3 employees
Working days per employee260 days
Total absence days78 days
1

Average team size

(25 + 24) / 2

24.5 employees

2

Available working days

24.5 * 260

6,370 days

3

Absence rate

(78 / 6,370) * 100

1.22%

4

Estimated retained employees

min(25, 24 - 3)

21 employees

5

Retention rate

(21 / 25) * 100

84.0%

6

Estimated turnover rate

100 - 84.0

16.0%

Final Result

The estimated team absence rate is 1.22%, employee retention is 84.0%, and estimated turnover is 16.0%.

Assumptions

  • Opening and closing headcount are a reasonable basis for estimating average team size during the period.
  • Each employee is assumed to have the same scheduled number of working days.
  • All absence days and headcount figures relate to the same team and reporting dates.
  • New hires are excluded from the estimate of employees retained from the opening team.
  • Absence data is recorded consistently, including any partial-day absences.

Limitations

  • !Headcount changes occurring early or late in the period are not captured precisely by a simple opening-and-closing average.
  • !Transfers, internal moves, rehires, and temporary assignments can make the retention estimate differ from employee-level records.
  • !Part-time, compressed-hour, and varied work schedules may require a more detailed available-days calculation.
  • !The calculator does not classify absence reasons or determine whether a particular absence category should be included.

Common Mistakes to Avoid

1

Using annual leave as absence days when the organisation treats it as scheduled leave.

2

Combining absence days from one date range with headcount from another date range.

3

Entering total calendar days instead of scheduled working days per employee.

4

Including employees who transferred into the team as new hires without using the same definition throughout reporting.

5

Treating ending headcount minus new hires as an exact employee-level retention record.

6

Comparing rates across teams that use different absence definitions or workday assumptions.

Frequently Asked Questions

What is the formula for team absence rate?

Team absence rate equals total absence days divided by estimated available working days, multiplied by 100. Estimated available days equal average team size times scheduled working days per employee.

Why is average team size used for the absence rate?

A team can gain or lose employees during a period. Averaging starting and ending headcount provides a practical estimate of the team size available to work.

How does the calculator estimate employee retention?

It subtracts new hires from ending headcount to estimate how many original employees remain, then divides that figure by starting team size.

Can the estimated retained employee count exceed the starting team size?

No. The formula caps retained employees at the starting team size because retention refers only to the original team.

What is the turnover formula in this calculator?

Estimated turnover rate equals 100 minus the estimated retention rate.
