A person-day is one person's scheduled work for one day. For example, five people working for ten days create 50 planned person-days.
How should I choose a team size?

Should planned leave be included in the absence rate?
Only if you want the rate to represent it. Known leave is often clearer to reflect in the schedule or capacity plan separately.
What absence rate should I use?

Can the absence rate be 0%?

What should be included in daily cost per employee?
Use the cost basis your organisation uses for staffing budgets, such as pay and relevant employer or employment overheads where appropriate.
Can I use a different replacement cost?
This calculator uses one daily cost for simplicity. If cover costs differ, use a blended daily-cost estimate or calculate the cover amount separately.

Why might actual absence cover costs differ from the estimate?
Actual absence, cover availability, replacement rates, skills and timing can all differ from the assumptions entered.
Does the calculator show whether the schedule will slip?
No. It estimates capacity and cost, but does not model task dependencies, critical paths or the timing of individual absences.
What if an absence occurs during a critical project phase?
The effect can be greater than an evenly spread capacity estimate suggests because timing and specialist skills may matter.
