Absence Rates Recruitment Cost Calculator
Estimate the annual cost of employee absences, replacement cover and recruitment using your workforce, absence rate and hiring costs.
Overview
This Absence Rates Recruitment Cost Calculator estimates the yearly staffing cost associated with employee absence. Enter your workforce size, annual absence rate, working days, daily pay, employer on-costs, replacement cover cost and direct recruitment spending to create a practical budget estimate.
How it works
The calculator estimates lost working days by multiplying the number of employees by annual working days and the absence rate. It then applies average daily pay plus employer on-costs to those days. Replacement cover is calculated as a percentage of this absence pay cost, while recruitment cost is the number of replacement hires multiplied by the direct cost per hire. These amounts are added together to give the estimated annual total.

Frequently asked questions
What is an absence rate?
An absence rate is the proportion of available working time lost when employees are absent. It is commonly calculated as absence days divided by total available working days, expressed as a percentage.
What costs are included in this calculator?
It includes estimated pay during absence, employer on-costs, replacement cover and direct recruitment costs for the number of hires entered.
Does the calculator include lost productivity?
No. Lost output, lower service levels, management time, training time and team morale can be significant but are difficult to estimate consistently, so they are not included.
What should I include in employer on-costs?
You may include employer payroll taxes, pension contributions, insurance, benefits and similar employment costs that apply in your circumstances.
How should I set the replacement cover cost percentage?
Use 100% when cover costs about the same as the absent employee's employment cost. Use a higher percentage for expensive agency cover or a lower percentage if only some absence is covered.
Are recruitment costs only agency fees?
No. You can include agency fees, job advertising, candidate screening, interview time, checks, onboarding and other direct hiring costs in your cost per hire estimate.
