An absence rate is the percentage of scheduled work time that employees do not work because of absence. Organisations may calculate it differently, so use the measure that fits your internal reporting.

What should I include in the absence cover cost rate?

You can include overtime premiums, temporary staff, agency charges, shift differentials, and other direct costs of covering absent employees. A rate above 100% reflects cover that costs more than normal pay.

Does the calculator include lost productivity?

No. It estimates replacement or cover cost and direct recruitment cost only. Disruption, training time, management time, and reduced output can be significant but are difficult to estimate consistently.
